01 · Getting Started

Signing up and paying for your trial

There are genuinely two different ways to sign up, not one form with two doors — the landing page's "Start Trial" button pays first and asks for your company details after; going straight to /register instead asks for everything up front and pays last. Pick whichever matches how you arrived.

Path A — via the landing page (pay first, details after)

  1. On the landing page at /, click any "Start 15-Day Trial for ₹49" button. This opens an in-page popup — you never leave the landing page.
  2. The popup asks for just two things: Email and Phone Number.
  3. Click "Pay ₹49 & Start Trial →." A Razorpay checkout opens right inside the popup — pay by card, UPI, or netbanking.
  4. On success, the popup shows "Account Created — Check your email for your login details." A temporary password has been emailed to you; your company account already exists and is already paid for.
  5. If that email or phone already has an account, you'll see "Already Registered" instead, with a straight link to sign in.
  6. Go to /login and sign in with your email/phone and the temporary password.
  7. Because your profile isn't filled in yet, you're redirected to /complete-registration instead of the dashboard.
  8. Set your real Company Name, upload a Logo, optionally add a WhatsApp URL, and choose a proper Password to replace the temporary one.
  9. Submit — you're taken straight to /home. No plan-selection step; you already paid.
This is deliberately lightweight — only email and phone, nothing else — because the goal is to remove friction between "interested" and "paid." Everything else about the company is filled in afterward, once they're already a customer.

Path B — via /register directly (details first, pay last)

  1. Navigate directly to /register — e.g. from a link shared in a sales conversation, not through the landing page's popup.
  2. Fill in Company Information: Company Name, Admin Email, Admin Phone (fixed +91 prefix), and optionally a WhatsApp URL.
  3. Upload your Company Logo (JPG, PNG or WEBP, under 3MB) — required here, since the full company profile is being created in one go.
  4. Set a Password (min. 8 characters, one uppercase letter, one number, one symbol) and confirm it.
  5. Click "Register & Continue." Your account and company are created immediately and you're logged in automatically.
  6. You land on /subscription — a one-time plan-selection screen, since nothing has been paid yet. Toggle Monthly / Annual, then pick a card and pay.
  7. On successful payment you're redirected to /home.
Both paths end up as a fully paid, fully profiled company — they just ask for the same information in a different order. Path A optimises for the fastest possible "yes"; Path B suits someone who already knows they're committing and would rather set everything up in one sitting.

Logging back in

Once your company exists, every future visit starts here. Hai Visitor accepts either your email or phone number — no need to remember which one you registered with.

  1. Go to /login. The left panel shows the Hai Visitor brand and three info tabs (About, Plans, Contact) — useful if you're evaluating the product before signing in.
  2. Enter your Email or Phone Number in the single identifier field.
  3. Enter your Password. A show/hide eye icon and a Caps Lock warning both appear as you type.
  4. Click LOGIN. Five failed attempts trigger a 30-second cooldown before you can try again — a safeguard against brute-force guessing, not a lockout of your account.
  5. Forgot your password? Use the "Forgot Password?" link, which walks you through emailing yourself a reset code.

Your home dashboard

Everything else in this guide is reached from here. The hamburger icon top-left opens a slide-out menu that's your gateway to every module.

  1. The header shows your company name and logo, a hamburger menu button, and Logout.
  2. The main area shows a welcome banner and one card per module your plan includes — Visitor Management always; Conference Booking only on Enterprise.
  3. An insight strip surfaces useful one-line nudges (e.g. "12 visitors came through yesterday") — purely informational.
  4. Tap the hamburger icon to open the slide-out Menu — this is where Plans & Billing, Reports, Employee Directory, Form Builder and My Account all live.
  5. If your subscription has lapsed, module cards show a lock icon and "Renew your plan to unlock this module" instead of their usual description — click through to Plans & Billing to fix that.

Visitor management, both sides

This module has two halves: what your team sees on the dashboard, and what the visitor fills in on their own phone after scanning your QR code.

Your side — the front-desk dashboard

  1. Open Visitor Management from the home dashboard. You'll see your unique QR code and registration link at the top — print the QR, or display it on a tablet at reception.
  2. Below it, a live visitor list updates automatically as people register, showing name, purpose, host, and a colour-coded status.
  3. When a visitor's meeting concludes, click Check Out next to their row — or let the system auto-check-out everyone at day's end.
  4. Click any row to see full visitor details, including their photo and ID proof if your Form Builder settings require it.

Their side — the visitor's own phone

  1. The visitor scans your QR code or opens the registration link — no app, no login, no account needed.
  2. Step 1: Name, Phone, and Email (if enabled in Form Builder).
  3. Step 2: Purpose of Visit (a category/sub-category picker your team configures), Person to Meet (searchable by name or department), and any company/organisation fields you've turned on.
  4. Step 3: ID Proof — type + number — and a live photo capture, both optional per your Form Builder settings.
  5. On submit, the person they're meeting gets an instant WhatsApp message with Accept / Decline buttons.
  6. The visitor receives their own digital pass — name, photo, and live status — that updates in real time as their visit progresses.
  7. Returning visitors: if the same phone number has visited before, the OTP step is skipped entirely — they go straight to a pre-filled review screen.
Once a host accepts (or the visitor checks in), a feedback message goes out on WhatsApp roughly an hour later, asking for a quick 👍 Excellent / 😊 Good / 👎 Could Be Better rating — replying with a star also triggers their checkout.

Employee directory

Before visitors can select who they're meeting, your team needs to exist in the system. This is also where you decide whether conference rooms are open to everyone or staff-only.

  1. From the Menu, open Employee Directory.
  2. Click Add Employee and fill in Name, Email, Phone, and Department — this is exactly who visitors will be able to search for as "Person to Meet."
  3. Got a whole team to add at once? Click Bulk Upload and drop in an Excel file — errors on individual rows are flagged before anything is saved.
  4. Use the search bar and the Active / Inactive filter to find anyone quickly; mark someone Inactive when they leave rather than deleting them, to preserve their visit history.
  5. Flip "Restrict conference booking to employees only" if you don't want the public booking link open to anyone with the URL.

Conference room booking

Available on the Enterprise plan. Rooms are set up once by your team, then bookable by anyone with the link (or employees-only, per the toggle above).

  1. From the home dashboard, open Conference BookingManage Rooms to add each room with a name, photo, and capacity.
  2. Share your booking link — anyone with it (or logged-in employees, if restricted) can reach /conference/book.
  3. The booker picks a room card, then a date and a 15-minute time slot from the day's availability grid.
  4. They fill in their name, phone, and meeting purpose, then confirm — the room's calendar updates instantly.
  5. Your team reviews and manages every booking from /conference/bookings, with the option to cancel or reassign a room.

Reports & analytics

Every visit and booking rolls up here — filterable by period, exportable, and broken down by status so you can spot patterns without digging through raw lists.

  1. Open Reports & Analytics from the Menu.
  2. Pick a period along the top — Today, Week, Month, Quarter, Year — every chart and figure below updates instantly.
  3. The KPI cards show totals with a percentage change against the previous equal period, so you know at a glance if footfall is up or down.
  4. A day-of-week chart highlights your busiest days; a status breakdown shows the accepted/declined/checked-out split.
  5. Click Export to download the underlying data as CSV, for anything you want to analyse further outside the app.

Form builder

Every field a visitor fills in — beyond the basics of name and phone — can be turned on or off here, and the "Purpose of Visit" list is entirely yours to define.

  1. Open Form Builder from the Menu — three tabs sit along the top.
  2. Field Toggles: every optional field (Email, From Company, Department, Address, ID Proof, Belongings Checklist, etc.) is a switch, tagged by which registration step it appears on.
  3. Purpose of Visit: build your own category list (up to 10) with optional sub-categories (up to 10 each) — e.g. "Sales Enquiry → Sofa / Modular Kitchen / Tiles."
  4. Custom Fields: add up to 5 fully custom fields (Text, Number, or Dropdown with up to 20 options) for anything specific to your business the built-in fields don't cover.
  5. Changes save immediately and apply to the very next visitor registration — no publish step.

Smart Forms — your own QR-code data collector

A Smart Form is a standalone, branded page reached by scanning its own QR code — separate from your visitor-registration QR. There's no login, no OTP, no "visit" concept at all — just a quick form anyone can fill in from their phone. Use it for event feedback, a lead-capture stall at an expo, a suggestion box, a workshop sign-up — anything you want to collect information about that isn't a walk-in visitor. Available on every plan, no extra cost.

Building a form — a 3-step wizard

  1. Open Smart Forms from the Menu, then click "+ New Smart Form." You can have up to 2 active forms at a time (each with unlimited responses) — retire an old one to free up a slot.
  2. Step 1 — Basic Info: an internal Name for your own reference, an optional Display Name Override and Logo Override (leave blank to use your real company name/logo), and a Headline shown to whoever scans it, with an optional Subtext line underneath — leave it blank and it simply won't show.
  3. Step 2 — Theme: pick one of 5 light, professional colour palettes — Purple, Blue, Green, Slate, or Amber — used across the scan page and the QR card.
  4. Step 3 — Fields: add up to 5 fields, each one of Text, Email, Phone, Dropdown, Dependent Dropdown, Rating (1–5), Date, or Feedback (a long text box). Mark any field Required. A Dependent Dropdown's options are scoped to whichever option was picked in an earlier dropdown field — e.g. picking a stall name narrows down the product list that follows.
  5. Click Save — your form goes live immediately at its own unguessable link, no publish delay.
Every step has a short explainer alongside it in the builder, so you always know why a field is there before you fill it in.

Sharing the QR code and reading responses

  1. Back on the Smart Forms list, click QR Code next to your form — a branded card (your logo, form name, and a "Scan to fill in your details" QR) generates inline. Click Download PNG to print it, or Copy Link to share it directly.
  2. Anyone who scans it lands on a clean, theme-coloured page showing your Headline (and Subtext, if you set one), fills in your fields, and hits Submit — no sign-in, done in under a minute.
  3. Back in your dashboard, click Responses on any form to see every submission in a searchable, date-filterable table.
  4. Reports & Analytics also has a "Smart Forms Responses" export — one Excel file combining every response across all your forms (active and retired), each row tagged with which form it came from.
  5. Retiring a form (instead of deleting it) frees up a slot for a new one, but every response it ever collected stays fully intact and reportable — the QR code just shows a branded "Form Not Found" page instead of accepting new submissions.

Example — a trade-show feedback form, start to finish

  1. You're running a stall at a trade show and want structured feedback instead of business cards in a bowl. Create a form named "Trade Show Feedback," theme Amber, headline "We'd love your feedback!"
  2. Add 4 fields: Name (Text, required), Which stall did you visit? (Dropdown: Sofa / Modular Kitchen / Tiles), Which product caught your eye? (Dependent Dropdown, scoped per stall — Sofa shows Recliner/3-Seater/Modular Sofa; Tiles shows a different product list), and Overall experience (Rating).
  3. Save, then download the QR card and print it as a small table-top standee at your stall.
  4. Visitors scan it on their own phone, pick their stall, get a relevant product list, rate their experience, and submit — the whole thing takes under 30 seconds and needs nothing from your staff.
  5. At the end of the show, open Responses to see every submission, or pull the combined Smart Forms Responses export from Reports & Analytics to hand to your sales team.
Because a Dependent Dropdown narrows its options based on an earlier answer, the same form can branch by stall/category without turning into a long, generic questionnaire.

Plans & billing

Every plan action — renewing, upgrading, switching billing cycle, or cancelling — lives on one dedicated page, reachable even when your subscription has lapsed.

  1. Open Plans & Billing from the Menu — always reachable, even on an expired account.
  2. The top pill shows your current plan and its live status (Active, Trial, Grace Period, Expired).
  3. Below, plan+billing-cycle cards are laid out separately — e.g. Business Monthly and Business Annual as distinct cards, not a toggle — the one matching what you're already on carries a green "Current Plan" badge.
  4. If auto-debit is live, you'll see an "Auto-renews on [date]" note instead of a Renew button — nothing to click, your card/UPI mandate handles it.
  5. Click a card's button to upgrade, renew, or (once your plan has lapsed) switch down a tier.
  6. Cancel Subscription sits at the bottom for Business/Enterprise plans — stops future charges, while access continues until your paid-through date.

Your company profile, logo, and your own login details all live under My Account.

  1. Open My Account from the Menu.
  2. Edit your Company Name, upload a new Logo, and update the WhatsApp URL shown to visitors — each field saves independently, no single "Save all" step.
  3. Set a custom Visitor Code Prefix (used on every visitor's ID, e.g. CMP16-...) — confirm carefully, since changing it affects all future codes.
  4. Update your own Name, Phone, or Password under the User Profile section.
